WHAT YOU GET

GoHighLevel Gym Snapshot Highlights

The build follows the path a prospect takes from a free pass to a signed membership, and what happens when attendance drops.

Trial Pass Funnel

A landing page and short form for your free week, class pass or intro offer, with consent wording placed next to the phone field.

Tours and Intro Classes

Prospects book a tour or a first class online, and class calendars hold a set number of seats for each session.

Every pass holder is tracked from first visit through the membership talk to joined or not yet, so no trial quietly expires.

No-Show Recovery

Prospects who miss a booked tour or class get a friendly rebooking message instead of disappearing from the list.

THE DETAILS

What the Gym Build Includes and Where It Stops

Here is what we build and adapt for each gym, named by asset and outcome rather than automation settings.

The Trial Is the Sale: How the GoHighLevel Gym Snapshot Is Organized

Most gyms and studios do not sell memberships from an ad. They sell a free week, a class pass or an intro session, and the membership is won or lost during that trial. The weak point is rarely the workout. It is the follow-up between the first visit and the last day of the pass.

The GoHighLevel gym snapshot puts every trial on one board. Prospects move from pass claimed to first visit booked, attended, membership conversation, joined or not yet. Owners can see at a glance which pass holders have not been back since day one.

Leads come from Instagram and Facebook ads, Google Business Profile, your website, ClassPass-style marketplaces, corporate wellness partners and member referrals. Each source is labeled, so you can tell which channel produces members rather than just sign-ups.

Fields are listed by job, not by name. A group-class studio and a one-on-one training business track different things, so we settle the details with you.

Numbers a gym owner can read on Monday

Because every trial and every at-risk member sits in a pipeline stage, the account answers practical questions without a spreadsheet. How many passes were claimed last week, and how many of those people actually came in? How many trials ended without a membership conversation? Which channel produced paying members rather than freebie seekers?

Those counts come straight from the stages, so they stay accurate as long as the front desk moves cards. New to the concept? Start with our guide to GoHighLevel snapshots.

Tours, Class Seats and No-Shows

HighLevel’s class booking calendar is built for one host with many attendees, and each slot can have its own seat limit. That makes it a good fit for intro classes and free trial sessions where you want to cap the number of newcomers per class.

Appointments in HighLevel carry statuses such as showed and no-show, and dashboards can report no-shows. The snapshot uses those statuses to send missed-visit rebooking messages, so a prospect who skipped a first class gets a second chance rather than silence.

If check-ins happen in your gym management software instead, attendance lives there. In that case we track trial progress in the pipeline and decide with you whether an integration is worth scoping.

Memberships: HighLevel Payments or Your Gym Software

There are two honest options, and the snapshot supports both.

  • Keep billing in gym software. Most established gyms bill through dedicated club management software that also handles check-ins, freezes and contracts. That stays the system of record, and the GoHighLevel gym snapshot focuses on trials, retention and reviews.
  • Sell memberships in HighLevel. Smaller studios can sell recurring products through funnel order forms. Those records appear on the HighLevel Subscriptions page, where eligible subscriptions can be updated, paused, resumed or cancelled depending on the payment provider and status.

Stripe stays synchronized with subscription status, while PayPal subscriptions do not sync the same way, which is one reason we usually recommend Stripe for studio memberships. Payment connections are reconnected after install, since snapshots never carry them.

What about Mindbody?

We did not find a native Mindbody integration documented by HighLevel. Third-party connectors exist, but they are separate paid products. If you run Mindbody, it stays in charge of bookings and billing, and any data link is scoped as its own project.

Cancellations, Win-Back and Auto-Renewal Rules

Members leave for real reasons: injury, a move, a schedule change or lost motivation. The cancellation feedback survey records why, and the retention pipeline separates members you can save from members who simply need a polite goodbye.

Win-back offers go only to people who agreed to receive marketing messages. For online sales with recurring charges, the FTC enforces the Restore Online Shoppers’ Confidence Act, which requires clear disclosure of material terms and express informed consent. Many states also have health club and automatic-renewal laws. This is general information, not legal advice; confirm with counsel.

We place your membership terms and cancellation instructions on checkout pages as you and your counsel approve them. The build never makes cancelling harder than joining.

Installing the Gym Build

A snapshot copies configuration only. Member contacts, booked classes, conversations, reviews, payment connections and A2P texting registration stay with the account or are set up fresh. We handle that setup, including texting registration.

For agencies, the gym build arrives as a shared snapshot that can seed a new location’s sub-account or be merged into a current one, where HighLevel asks whether each overlapping asset should be replaced or left alone. Single-location studio owners tend to leave the import to us, because once loaded it stays loaded. See the GoHighLevel snapshot installation guide, our funnel building service for extra offer pages, and custom vs free snapshots before you buy.

FAQ

Gym Snapshot: Questions, Answered

Ours includes trial-to-member and retention pipelines, a free pass funnel, tour and intro class calendars with seat limits, a goals questionnaire, a cancellation survey, no-show rebooking, end-of-trial offers, win-back, referral and review templates, and offer pages. Every asset is customized to your gym before installation.

It can sell recurring products through funnel order forms, and those subscriptions appear on the Subscriptions page, where eligible ones can be paused, resumed or cancelled depending on the provider. Larger gyms usually keep billing, freezes and contracts in club management software, and we build around that instead.

We did not find a native Mindbody integration documented by HighLevel. Third-party connectors are sold separately. If you use Mindbody, it remains your booking and billing system, and the snapshot handles trial follow-up, retention messages and reviews. A data connection can be scoped as a separate project.

HighLevel appointments carry statuses such as showed and no-show. When a prospect misses a booked tour or intro class, the build sends a friendly rebooking message and keeps them in the trial pipeline. If attendance is tracked only in your gym software, we work from pipeline stages instead.

No. HighLevel snapshots copy setup such as pipelines, forms and templates, not contacts, appointments, conversations or payment connections. If you want members in GoHighLevel for retention campaigns, we import the list as a separate step and only include people who agreed to receive marketing messages.

Yes. Challenges are built as their own offer page and pipeline stage using your dates, price and coaching wording. Payment can run through a HighLevel order form or your gym software. Extra challenge pages can be added through our funnel building service.
