Law Firm CRM for Intake That Signs More Cases
A law firm CRM decides what happens in the hour after a potential client reaches out, long before anyone opens a matter. GoHighLevel USA sets up that intake front door in a GoHighLevel account your firm owns, running beside Clio or whichever practice management system holds your matters. Delivery is a done-for-you GoHighLevel setup, and every follow-up is written around bar solicitation rules.

What Our Law Firm CRM Build Covers
Each part targets a gap between the first inquiry and a signed engagement letter.
Inquiry Capture
Web forms, chat, missed calls and ad leads land in one shared inbox, tagged by practice area so the right intake person picks them up.
Consultation Booking
Prospective clients choose a consult slot that matches the attorney and practice area, with reminders that cut down on no-shows.
Conflict-Check Hold
New prospects pause in a holding stage until staff clear conflicts in your practice management system, before any substantive conversation begins.
Engagement Letters
Once a matter is accepted, the engagement letter goes out for e-signature from GoHighLevel documents, or from your existing tool if you prefer.
AI Call Answering
A Voice AI agent can answer overflow and after-hours calls, take contact details, book consults and hand urgent callers to a person.
Review Requests
Closed matters can prompt a review request, with reply wording that never confirms representation or discusses the case in public.

Law Firm CRM Guide: Intake, Conflicts and Bar Rules
What we verified in October 2026 about legal intake tools, the Clio connection and the ABA Model Rules that govern follow-up.
Why Intake Is Where Firms Lose Cases
A person with a new legal problem rarely calls one firm. They search, call two or three offices, fill in a web form somewhere else and often sign with whoever calls back first and sounds organized.
Inquiries reach a firm through organic search, Google Business Profile calls, paid search and social ads, legal directories, referrals from other lawyers, and former clients. Each one needs a quick, consistent response and a record of what happened next.
Many of those first contacts happen at night or on weekends, after a crash, an arrest or a family crisis. A firm that answers then, even just to book a consult for the next morning, starts the relationship ahead of offices that open at nine.
Where things break is ownership. A voicemail left at 6:40 p.m., a contact form sent over a weekend, or a consult no-show that nobody reschedules can each cost a matter, and the practice management system usually never sees those people at all.
Law Firm CRM Options: GoHighLevel vs Clio Grow vs Lawmatics
All three handle intake; they differ in depth and focus. We took the Clio Grow and Lawmatics entries from each vendor’s site in October 2026; plans change, so check the current version before deciding.
| Job | GoHighLevel | Clio Grow | Lawmatics |
|---|---|---|---|
| Intake forms | Forms and surveys tied to pipelines | Custom intake forms shared by web, email or text | Custom form builder |
| Conflict checking | Not built in; stays in your PMS | Searches across Clio at intake | Conflict checking listed as a feature |
| Engagement letters and e-sign | Documents and contracts with e-signature | Templates autofilled from intake, sent for e-signature | Document automation |
| After-hours phone handling | Voice AI agents that answer, book and transfer | AI that answers calls and emails after hours | Not listed on its homepage |
| Marketing reach | Funnels, websites, attribution, texting, email, reviews | Email marketing and a website builder | Email drip campaigns and SMS |
| Practice management link | Clio app from LeadConnector in the marketplace | Syncs to Clio Manage on conversion | Integrations with Clio, MyCase and Filevine |
A Clio-only firm that wants intake inside the same vendor will find Clio Grow the simpler choice. GoHighLevel earns its place when the firm also needs funnels, multi-channel ads tracking, texting and reviews from one account, and is comfortable running conflicts in a separate system.
Conflict Checks and the Clio Handoff
Conflict checking belongs in the system that holds every client, matter and adverse party, which for most of our firms is Clio Manage. GoHighLevel never sees the full party list, so it cannot run a reliable check and we do not pretend it can.
What the CRM can do is hold a new prospect in a waiting stage until staff record that conflicts are clear. Only then does the consult booking or substantive questionnaire go out.
For Clio users, a Clio app published by LeadConnector appeared in the HighLevel App Marketplace in 2026. Its listing describes syncing Clio clients and matters into the CRM in real time and triggering review requests from a matter field. It moves data from Clio toward the CRM, so new matters are still opened in Clio.
Our October 2026 scan of every public marketplace listing turned up nothing else for practice management except a third-party Clio workflow plugin. We found no app for MyCase, Filevine, Smokeball or PracticePanther, so firms on those systems need a custom connection or a manual handoff at signing, which we scope during the audit.
Rule 7.3, Texting and Live Calls
Under ABA Model Rule 7.3, a lawyer may not solicit professional employment through live person-to-person contact when pecuniary gain is a significant motive, outside narrow exceptions such as other lawyers or people with a prior relationship. Solicitation is also barred when the person has said they do not want it.
The ABA comment defines live contact as in-person, live phone and other real-time conversation, and says it does not include text messages or other written messages that recipients can easily disregard. A reply to someone who asked for information is not a solicitation at all.
For a law firm CRM that means inbound inquiries can be answered by phone right away, while cold outreach to someone you only know needs legal help stays written. Your state’s version of the rule is what binds you, and states can add filing or disclaimer duties of their own. Texting still needs carrier registration and working opt-outs. This is general information, not legal advice; confirm with counsel.
Confidentiality and Prospective-Client Information
ABA Model Rule 1.18 treats anyone who consults a lawyer about possibly forming a relationship as a prospective client. Even if no engagement follows, the lawyer generally cannot use or reveal what was learned, and harmful information can disqualify the lawyer and firm from the other side of the matter.
That shapes the intake build. First-contact forms ask only for names, contact details, the practice area and opposing parties needed for the conflict check, not a full story of the case.
- Automated texts and emails confirm appointments without describing the legal issue.
- User permissions and the only-assigned-data setting limit which staff see which contacts.
- Two-factor login protects the account, and audit logs record user activity.
- Review replies thank the reviewer without confirming that a person was ever a client.
Intake KPIs a Law Firm CRM Should Report
- Response time: minutes from first contact to a live or automated reply.
- Inquiry to consult: share of qualified prospects who book and attend.
- Consult to signed: engagement letters signed per consult held.
- Cases by source: signed matters traced to ads, search, directories and referrals.
- Unanswered inquiries: leads with no logged contact after one business day.
Overflow calls can go to our GoHighLevel AI receptionist, and voicemails still get a reply through missed call text back. We file your texting with carriers through our A2P 10DLC registration service, build costs sit on the setup pricing page, and other professions are on the GoHighLevel CRM hub.
Legal Intake CRM FAQs
It depends on how much marketing you run. A firm already on Clio that only needs intake forms, e-signature and conflict searches may be best served by Clio Grow. Firms that also want funnels, ad tracking, texting, reviews and AI call answering under one login often choose GoHighLevel beside their practice management system.
No, and we would not want it to. Conflict checks need every client, matter and adverse party, which live in your practice management system. We build a holding stage so a new prospect waits until your staff confirm conflicts are clear, and only then do consult booking and detailed questions begin.
Yes, through an app. As of October 2026 the HighLevel App Marketplace lists a Clio app published by LeadConnector that syncs Clio clients and matters into the CRM and can trigger review requests from a matter field. New matters are still opened in Clio, which remains the record for every case.
The ABA comment to Model Rule 7.3 says live person-to-person contact does not include text messages, and replying to someone who asked for information is not solicitation. States adopt their own versions, though, and texting also needs carrier registration and opt-out handling. Confirm your state’s rules with ethics counsel; this is general information.
It can be, if it only holds what intake needs. We collect contact details, practice area and the parties required for conflicts, keep case narratives in your practice management system, and limit staff access with user permissions. Model Rule 1.18 protects what prospective clients tell you even when no engagement follows.
Practice-area count, the pace of your ethics counsel’s script review, and carrier approval of your texting campaign all affect timing. Firms with one practice area and quick approvals move fastest. A firm schedule follows discovery, and our setup pricing page explains each package.
