Med Spa CRM That Books Consults and Rebooks Treatments
A med spa CRM has one job your booking platform rarely does well: turning consult requests for injectables, lasers and body treatments into paid, first-time appointments. GoHighLevel USA builds it inside your own GoHighLevel account, beside Boulevard, Zenoti or whatever books your providers, as a done-for-you GoHighLevel setup that respects consent and advertising rules.

What We Build Into Your Medical Spa Account
The CRM layer covers the client before the chair and between series, while your booking platform keeps charts and memberships.
Consult Request Capture
Instagram, Meta lead ads, Google, your website and missed calls feed one inbox, so every injectable or laser inquiry gets a quick, consistent reply.
Consult Deposits
A consult calendar can require a fixed-dollar or percent-of-price deposit, charged through your connected Stripe, NMI or Authorize.net account.
Treatment Estimates
Package or series pricing goes out as an estimate the client can accept online, then converts to an invoice when they are ready.
Series and Rebooking Nudges
Clients midway through a laser or microneedling series, or due for a toxin touch-up, get a reminder with a booking link.
Consent-Aware Testimonials
Review requests go to every client, and photo or testimonial use is tracked against a signed authorization before marketing touches it.
Provider and Source Reports
See which campaigns, injectors and treatments turn consults into paid first visits, measured from inquiry rather than from the booking.
Is GoHighLevel the Right Fit for Your Medical Spa?
It suits spas that spend on ads and social, and want consult follow-up their booking software does not provide.
- ✓ You run Meta or Google ads for toxin, filler, laser or weight-loss consults
- ✓ Consult requests sit in DMs and voicemail while providers are with clients
- ✓ You already use Boulevard, Zenoti or Mindbody and want to keep it
- ✓ Your medical director wants clear rules on who can book which treatment
- ✓ You need a record of which clients approved photo or testimonial use

Med Spa CRM Guide: Platforms, Consults and Consent
How GoHighLevel compares with med spa booking platforms, and the advertising and privacy rules that shape the build.
Booking Platform or Med Spa CRM? Splitting the Work
Boulevard and Zenoti both market themselves to medical spas. Boulevard lists scheduling, self-booking, memberships, forms and charts, marketing, payments and ePrescribe; Zenoti lists online booking, memberships and packages, forms and charting, a photo manager, marketing and a set of AI agents.
That is a full operating system for the spa floor. What those platforms are not built around is the sales side: a lead who asked about lip filler on Instagram, priced it, and went quiet for three weeks.
GoHighLevel is built around exactly that. It brings pipelines, funnels, forms, two-way texting, email, calling and attribution into one account, so consult requests are worked like sales opportunities instead of calendar entries.
| Job | Keep in Boulevard or Zenoti | Run in GoHighLevel |
|---|---|---|
| Provider schedules and room booking | Yes | Consult calendars only |
| Charting, injectables log, prescriptions | Yes | No |
| Memberships and package billing | Yes, if already set up there | Only if the spa has no other billing tool |
| Ad and social lead follow-up | Limited | Yes: pipelines, inbox, landing pages |
| Consult-to-treatment reporting by campaign | Limited | Yes |
Platform features change often; the comparison reflects each vendor’s own website as of October 2026. We found no Boulevard or Zenoti app in the HighLevel App Marketplace that month, while several third-party Mindbody sync apps are listed, so spas on Mindbody have more connection options.
One group should not add GoHighLevel at all: a spa that fills its book from repeat clients and referrals, spends little on ads, and already uses its platform’s marketing suite. A second login would add cost without a new job to do.
Consult-to-Treatment Conversion for Injectables and Lasers
The number that decides a med spa’s ad budget is how many paid consults turn into a first treatment. A med spa CRM makes that visible by keeping the consult and the treatment as separate milestones tied to the original campaign.
Deposits change behavior. Any GoHighLevel calendar type can charge part of the price up front; whatever remains is parked on a draft invoice for staff to send when the client is treated. For series pricing, an estimate the client accepts online and later converts to an invoice keeps the quote in writing.
Follow-up after a consult is personal, not promotional. The message references the consult and offers the next available time, while clinical detail stays in the chart.
Memberships deserve the same discipline. If Boulevard or Zenoti already bills a monthly membership, it stays there; the CRM only invites consult clients to join and reminds members whose benefits are going unused, so no client is ever charged by two systems.
Medical Director Rules Shape the Booking Flow
Who may assess, prescribe and inject, and how closely a physician supervises, is set by each state’s medical, nursing and cosmetology boards. The rules differ widely, so we do not publish a state list; we build to whatever your medical director and counsel have approved.
In practice, that affects the funnel in three places:
- Which treatments a new client can self-book and which require an assessment first
- Whether the consult calendar is assigned to a physician, NP, PA or nurse injector
- What the booking page says about eligibility, so marketing does not promise a treatment before anyone has assessed the client
The CRM enforces the routing you choose. It does not decide clinical eligibility, and it should never be the place where a good-faith exam is recorded.
Before-and-After Photos, Testimonials and the FTC
Results imagery sells aesthetic treatments, and several rules sit on top of it. The FTC’s Endorsement Guides say that when a testimonial shows results you cannot show are typical, the ad should clearly disclose what clients can generally expect; the FTC’s Endorsement Guides Q&A covers this and material connections.
The Consumer Reviews and Testimonials Rule, effective October 21, 2024, adds civil penalties for knowing violations. It covers fake reviews, incentives that require a positive review, and undisclosed reviews from employees or relatives, which matters for spas that ask staff to post.
If your spa is a HIPAA covered entity, using a client’s photo or story in marketing generally needs the client’s written authorization, as 45 CFR 164.508 sets out for marketing uses. Meta also requires ads for cosmetic procedures such as injectables and laser treatments to target people 18 or older. This is general information, not legal advice; confirm with counsel for your state and business structure.
HIPAA Choices for a Med Spa on GoHighLevel
HIPAA coverage on HighLevel is opt-in and paid. Spas that will store PHI in the CRM need the agency to buy HighLevel’s HIPAA Compliance package, sign its BAA and enable HIPAA mode on the spa’s sub-account, steps HighLevel says cannot be undone.
Many spas choose a lighter design: GoHighLevel holds name, contact details, the treatment category of interest and consent records, while assessments, lot numbers and photos stay in the booking platform’s chart. We settle that boundary before building, and we file A2P 10DLC through our A2P 10DLC registration service so consult texts are delivered.
Med Spa CRM KPIs That Guide Ad Spend
- Cost per booked consult: ad spend divided by consults scheduled from that campaign
- Consult show rate: booked consults that happen, with and without a deposit
- Consult-to-treatment rate: consults that lead to a paid first treatment
- Series completion: clients who finish the sessions they were quoted
Landing pages for each treatment come from our GoHighLevel funnels team, and build costs are on the GoHighLevel setup pricing page. Spas that also run a physician clinic can compare the medical practice CRM, and every industry is on the GoHighLevel CRM hub.
Medical Spa CRM: Buyer Questions, Answered
The best setup usually pairs a med spa booking platform, which handles charts, memberships and provider schedules, with a CRM built for lead follow-up. GoHighLevel fills that second role with pipelines, an inbox, landing pages and attribution. Spas with little advertising may find their booking platform’s marketing tools are enough.
Our October 2026 check turned up no Boulevard or Zenoti app in the HighLevel App Marketplace, though several third-party Mindbody sync apps are listed. Without a connector, consults are booked in GoHighLevel and treatments in your platform, or data moves through a tool like Zapier where the platform allows it.
Yes. A consult calendar can charge a set amount or a percentage when the client books, provided Stripe, NMI or Authorize.net is connected. HighLevel does not collect the rest automatically; it waits on a draft invoice. Check your own cancellation and refund policy wording before turning deposits on.
Only with care. A HIPAA covered entity generally needs a signed authorization to use a client’s photos in marketing, the FTC expects ads to disclose typical results when a testimonial shows exceptional ones, and Meta restricts cosmetic procedure ads to adults. Confirm your consent forms with counsel before publishing.
Not by default. The agency must add HighLevel’s HIPAA Compliance package, sign the BAA and switch on HIPAA mode for the spa’s sub-account. Many spas also keep assessments, lot numbers and treatment photos out of the CRM entirely and store only contact, interest and consent details there.
It can route bookings the way your medical director decides, for example sending new toxin clients to an assessment calendar before a treatment slot. It cannot judge clinical eligibility. State supervision rules vary, so the routing should be written down and approved by your medical director and counsel first.
