GOHIGHLEVEL SNAPSHOT FOR HOME CARE AGENCIES
GoHighLevel Home Care Snapshot for Client and Caregiver Growth
The GoHighLevel home care snapshot is a prebuilt account for private-duty and personal care agencies that need families and caregivers moving at the same pace: a family inquiry pipeline, in-home assessment booking, referral-partner nurture, a caregiver application funnel and a hiring pipeline.
What's inside
What Comes in Our Home Care Build
Half of the build wins clients, the other half hires the people who care for them, and the two never mix.
Family Inquiry Pipeline
Calls and forms from adult children move from first contact through needs screening to a booked assessment, so no worried family waits for a callback.
Assessment Booking
An in-home assessment calendar lets your care coordinators offer real times, with confirmations that tell the family who is coming and what to prepare.
Referral-Partner Nurture
Discharge planners, case managers and senior living staff get their own pipeline, a referral form and useful updates instead of generic newsletters.
Caregiver Application Funnel
A phone-friendly application funnel for caregivers and aides asks only what a first screen needs, then offers a booking link straight away.
Hiring Pipeline
Applicants move from application to phone screen, interview, orientation and hire, and recruiters see exactly where each candidate stalled.
Two-Sided Reviews
Families are asked for client reviews and long-serving caregivers for employer reviews, each at a moment your team approves.
One Account, Two Separate Halves
A home care agency sells care and hires the people who deliver it, and both depend on fast replies. The GoHighLevel home care snapshot gives each side its own pipelines, forms, calendars and messages inside one account, so a recruiter never opens a family's conversation and a coordinator never wades through applicants.
If snapshots are new to you, our snapshot explainer covers how a configured account becomes a reusable template. For intake strategy, payer screening and KPIs, see our home care agency CRM page; this page covers the prebuilt assets.
It is not the right fit for every agency. A hospice, a Medicare-certified skilled home health agency or a franchise bound to a brand-mandated CRM will need a different scope. Very small agencies that take a handful of clients a year may also be better served by a lighter custom setup than a full two-sided build.

A closer look
Referral-Partner Assets
Discharge planners, case managers, social workers and senior living staff send families to agencies that answer quickly and report back. The partner pipeline tracks each relationship from first meeting to active referrer, and the referral form gives them a short way to send a family over.
Partner templates focus on what a busy planner wants: confirmation that the family was contacted and when an assessment is booked. They share only what the family has agreed to share. The partner dashboard shows which relationships produce clients who actually start care, so marketing visits go where they pay off.
How it works
Your Home Care Account, Live in 4 Steps
1
Agency Review
We confirm your license type, services, payer mix, HIPAA status, scheduling platform and hiring process before anything is built.
2
Adapt the Build
Pages, forms and templates are reworded for the services you are licensed to offer and the areas you cover.
3
Load and Connect
We import the build into your agency sub-account and set up your domain, office numbers and A2P registration.
4
Test and Train
We submit a test family inquiry and a test application and show coordinators and recruiters their separate views.
Caregiver Recruiting Funnel and Hiring Pipeline
Applicants often apply to several agencies in one evening and take the first interview offered. The careers funnel works on a phone, asks only first-screen questions and offers an interview time at once. Our GoHighLevel funnels team builds the role pages to match your pay and shift types.
Orientation runs on a class-style calendar, which HighLevel supports as one-to-many booking with a seat capacity per slot. Several new hires can book the same session without your recruiter juggling replies. Past applicants who went quiet get a check-in when you are hiring again.
Background checks, credentials and payroll setup stay in your HR and scheduling tools. The hiring pipeline shows that they are in progress; it does not store the results.
HIPAA Decisions Before the GoHighLevel Home Care Snapshot Loads
Whether HIPAA applies depends on your agency. Agencies that bill Medicaid or insurers electronically are usually covered entities, while some private-pay-only agencies are not. Decide before install, because it changes what the forms collect.
HighLevel's HIPAA Compliance Package costs US$297 a month, billed at the agency level, and cannot be cancelled once enabled. It adds a BAA, encryption, audit logs and MFA enforcement, and HighLevel lists contacts, form submissions, SMS, calendars and notes among the covered objects. Each sub-account is switched on manually, and that step cannot be reversed.
Either way, our forms ask about the type of help needed rather than diagnoses, and texts never carry care details. This is general information, not legal advice; confirm your status with counsel.
What Stays Behind and How It Installs
A snapshot copies configuration only. Contacts, appointments, conversations, reviews, payment connections and integrations stay behind, and phone numbers, A2P 10DLC registration through our A2P registration service and your domain are set up in your own account. Funnels arrive unpublished until the domain is connected.
WellSky, AxisCare and similar platforms keep scheduling, EVV and billing, and no snapshot connects them; any link is scoped separately. Agencies receive a share link and can create sub-accounts or load into an existing one, choosing to override or skip each conflicting asset. Owners usually let us import it, and the loaded snapshot cannot be unloaded. HighLevel's snapshots overview lists every transfer limit, and our snapshot installation guide walks through both install paths.
Price and delivery depend on how many offices, services and roles the build covers, so we quote after the strategy call instead of listing a fixed figure.
Red flags when buying a home care snapshot
✓ Inquiry forms that ask for diagnoses, medications or insurance numbers by default
✓ Templates that advertise skilled nursing to agencies licensed only for personal care
✓ Client and applicant contacts thrown into one pipeline
✓ Texts with no consent capture or opt-out wording
✓ Sellers who imply a snapshot makes an account HIPAA compliant on its own
Questions and answers
GoHighLevel Home Care Snapshot: Common Questions
Straight answers before you book a call. Have a question that is not covered here? Ask us directly.
What is in a GoHighLevel home care snapshot?
Ours includes family inquiry, referral partner and caregiver hiring pipelines, assessment, interview and group orientation calendars, care inquiry, partner referral and caregiver application forms, a careers funnel, template sets for both sides, and dashboards for starts of care and hires. Everything is adapted to your services, areas and license before installation.
Does the snapshot make GoHighLevel HIPAA compliant?
No. A snapshot only copies configuration. HIPAA coverage in HighLevel comes from its HIPAA Compliance Package, which adds a BAA, encryption, audit logs and MFA for US$297 a month at the agency level and cannot be cancelled. Whether you need it depends on your agency, so confirm with counsel first.
Can it connect to WellSky or AxisCare?
Not by itself. Snapshots never carry integrations, and we did not find a native HighLevel Marketplace app for either platform. Both vendors publish API options, so a connection can be scoped as separate developer work. Many agencies simply hand off at start of care. Our home care CRM page covers the options.
How does the caregiver orientation calendar work?
It uses a class-style calendar, which HighLevel supports as one-to-many booking with a seat capacity per time slot. You set the session times and how many new hires each can hold. Applicants who reach the orientation stage book a seat themselves and receive reminders, which saves your recruiter a round of scheduling calls.
Will families and caregivers get mixed up in one account?
No. Families, referral partners and applicants sit in separate pipelines with separate forms, calendars and templates. Dashboards report on each side on its own, so intake coordinators work from the family view and recruiters from the hiring view, and neither has to sort through contacts from the other side.
Is this snapshot suitable for skilled home health agencies?
It is designed for private-duty and personal care agencies. Skilled home health agencies can use the recruiting and referral assets, but their services, payer rules and marketing claims differ. States license these services separately, so every page and template is reworded to match only the services your license covers.
