GoHighLevel round robin spreads new appointments and leads across your team automatically. Round Robin calendars assign each booking to a team member by availability or equal distribution, and the Assign To User workflow action rotates contact ownership between selected users, evenly or by weight.
This guide explains both tools, how HighLevel’s distribution logic really counts bookings, the settings that quietly break fairness, and how to keep fast lead response when the assigned rep is offline.
What does round robin mean in GoHighLevel?
Round robin in GoHighLevel means distributing work across several users in rotation instead of sending everything to one person. HighLevel offers it in two places: Round Robin calendars, which assign booked appointments, and the Assign To User workflow action, which assigns contacts to users.
The two solve different problems, and most teams need both:
- Round Robin calendar. A calendar type with several team members. The booker sees combined availability, and HighLevel picks which team member gets the meeting.
- Assign To User action. A workflow step that sets the contact’s assigned user, so the right rep owns follow-up calls, conversations and tasks.
Both live inside each sub-account and use the users added there. If users, permissions or calendars are missing, round robin cannot work, which is why our GoHighLevel sub-account setup guide covers users and calendars before automations.
Round robin calendars vs contact assignment: what is the difference?
A Round Robin calendar distributes appointments: it decides who takes a booked meeting. The Assign To User action distributes contacts: it decides who owns a lead. A lead can be assigned to one rep for follow-up and still book a meeting with another rep through the calendar.
| Feature | Round Robin calendar | Assign To User action |
|---|---|---|
| What it assigns | An appointment | The contact’s assigned user |
| When it runs | When someone books | When a workflow reaches the action |
| Distribution options | Optimize for Availability or Optimize for Equal Distribution | Split traffic Equally or Unevenly (weighted) |
| Respects availability | Yes, based on each member’s calendar availability | No, it rotates regardless of who is online |
| Best for | Sales calls, consultations, demos | Inbound leads, form fills, missed calls, chats |
If your goal is “the person who owns the lead takes the meeting,” you have to design for it. Otherwise contact ownership and appointment ownership drift apart and reps argue about whose lead it is.

Optimize for availability or equal distribution: which should you pick?
Pick Optimize for Availability when speed matters most, because HighLevel books whoever is free at the chosen time, using priority as a tiebreaker. Pick Optimize for Equal Distribution when fairness matters most, because HighLevel balances the number of meetings each member gets across the month.
How Optimize for Availability works
HighLevel assigns the appointment to a team member who is available at the selected time. If several members are free, priority decides. Each member can be set to High, Medium or Low priority:
- High: selected first if available.
- Medium: selected if no high-priority member is available.
- Low: selected only if no high or medium member is available.
This suits support desks and urgent services. It also lets you route most meetings to senior closers while juniors cover overflow.
How Optimize for Equal Distribution works
According to HighLevel’s current help documentation, equal distribution counts the Round Robin appointments each member has in the month of the selected slot. The member with the fewest is chosen, ties go by the team’s set order, and unavailable members are skipped.
- No member can get more than 3 appointments ahead of another. When someone is 3 or more ahead, their availability is hidden until the others catch up.
- The logic applies only when the booker chooses “Any Available.” If staff selection is allowed and the booker picks a person, that booking goes through regardless of balance.
- Adding or removing a team member resets the meeting count for everyone. Switching methods and back also resets it.
- It works best when members have similar or overlapping availability.
Older tutorials describe a 24-hour counting window. HighLevel’s documentation now describes monthly counting, so check the help article when an old video does not match what you see.
How does lead assignment work with the Assign To User action?
The Assign To User workflow action sets a contact’s assigned user. With one user selected, every contact goes to that person. With several users, HighLevel rotates assignments in round robin order, and Split Traffic lets you distribute them equally or unevenly using weights per user.
- Equally (default). Contacts rotate one by one across the selected users.
- Unevenly. You set a ratio per user. HighLevel’s own example: with weights of 3, 3 and 1, the first three contacts go to the first user, the next three to the second, the seventh to the third, then the cycle repeats.
- Only Apply To Unassigned Contacts. When on, the action skips contacts that already have an owner. When off, it reassigns them and overwrites the previous owner.
- Dynamic user IDs. Instead of choosing users from the list, the action can take a user ID from contact data, which helps when another system decides the owner.
Leave “Only Apply To Unassigned Contacts” off by accident and a returning lead can be pulled away from the rep who has worked them for weeks. That single toggle causes many ownership disputes.
What routing problems break round robin in GoHighLevel?
Round robin in GoHighLevel usually breaks because of setup, not the feature. Common causes are uneven availability, staff selection left on, team changes that reset counts, reassignment overwriting owners, and leads routed to reps who are off shift or no longer active users.
- Uneven calendars. A rep with twice the open hours will take more availability-based bookings. That is expected, not a bug.
- Allow Staff Selection on. Bookers pick their favorite rep, so equal distribution never balances. HighLevel recommends turning it off for true equal distribution.
- Frequent roster edits. Each add or remove resets equal-distribution counts, so a mid-month change restarts the balance.
- Deactivated users still in rotation. Contacts assigned to someone who left go nowhere. Remove them from both the calendar team and every Assign To User action.
- Several workflows assigning the same contact. Two workflows with different user lists fight over ownership. Keep assignment in one place.
- Calendar sync gaps. If a rep’s external calendar is not connected, HighLevel may show them free when they are busy.
Each member can also have their own meeting location, such as Zoom, Google Meet, Microsoft Teams, phone, a full address or “Ask the Booker,” so check those per member, not just per calendar.
How do you keep speed to lead when the assigned rep is offline?
Keep speed to lead by making sure every new lead gets an immediate automated reply, even when round robin assigns it to someone who is off shift. Contact assignment does not check availability, so instant text-back, AI replies or escalation must cover the gap until the owner responds.
- Send an instant text or email acknowledging the inquiry, with a booking link to the Round Robin calendar so the lead can pick a time.
- Use missed-call text-back so a call to a busy rep still gets a reply within moments.
- Let Conversation AI or an AI booking assistant handle first replies and booking after hours.
- Notify the assigned user internally, and escalate to a manager if the lead has no reply after a set time.
Why response time matters is covered in our speed to lead guide. If an AI should qualify and book instead of a rep, see how an AI appointment setter fits, and how AI lead qualification in GoHighLevel sorts leads before assignment. Booked meetings still need confirmations; our GoHighLevel appointment reminders guide covers no-show prevention.
What should you check before turning round robin on?
Before turning round robin on, confirm every team member is an active user with the right permissions, connected calendars and set availability, choose the distribution method that matches your goal, and decide in one place who owns a contact and when ownership may change.
- List the users who should receive leads and meetings, and remove anyone inactive.
- Connect each member’s Google or Outlook calendar and confirm working hours and time zone.
- Choose Optimize for Availability or Optimize for Equal Distribution, and set priorities if you use availability.
- Decide whether bookers may choose a staff member.
- Set Split Traffic and the “Only Apply To Unassigned Contacts” toggle on the Assign To User action.
- Make sure SMS replies can actually send: US numbers need an approved A2P 10DLC campaign on LC-Phone or your provider.
- Test with dummy contacts and check who each lead and booking went to.
Leads slipping through the cracks between reps?
If leads wait hours for a reply because the assigned rep is busy or offline, our missed call text-back and speed-to-lead setup makes sure every call and form gets an instant response while round robin decides who follows up.

Frequently Asked Questions
Does GoHighLevel have round robin?
Yes. GoHighLevel has Round Robin calendars that assign booked appointments across a team, and an Assign To User workflow action that rotates contact ownership between selected users. Calendars can optimize for availability or equal distribution, and the workflow action can split contacts equally or by weighted ratios.
How does equal distribution work in a GoHighLevel Round Robin calendar?
Equal distribution counts each member’s Round Robin appointments in the month of the selected slot and gives the booking to the member with the fewest. Nobody can get more than 3 ahead; their availability is hidden until others catch up. It applies only when the booker selects “Any Available.”
Why is my GoHighLevel round robin not distributing evenly?
Uneven results usually come from Optimize for Availability with members who have different open hours, staff selection left on, roster changes that reset counts, or several workflows assigning the same contacts. Check the distribution method, disable staff selection for equal distribution, and keep assignment in a single workflow.
Can I give some reps more leads than others?
Yes. In the Assign To User action, set Split Traffic to Unevenly and give each user a weight, such as 3 for a senior closer and 1 for a new hire. On Round Robin calendars using Optimize for Availability, you can also set High, Medium or Low priority per team member.
Will round robin reassign contacts that already have an owner?
Only if you allow it. In the Assign To User action, turn on “Only Apply To Unassigned Contacts” to skip contacts that already have an assigned user. With the toggle off, the action reassigns the contact and overwrites the previous owner, which can move an active lead to a different rep.
Can GoHighLevel round robin assign calls and texts too?
Contact assignment through the Assign To User action decides who owns a lead, and the owner then handles that contact’s calls, texts and tasks. Round Robin calendars only assign appointments. For instant replies to missed calls or after-hours texts, add missed-call text-back or Conversation AI alongside assignment.
