Gym CRM for Membership Sales and Retention
A gym CRM should sell memberships, not just store member records, and that is where most club software stops short. GoHighLevel USA builds the sales and retention layer in a GoHighLevel account you own, running beside Mindbody, ABC Glofox, PushPress or whatever runs check-ins and dues, through our done-for-you GoHighLevel setup, made for owners who want every trial worked.

What a Gym CRM on GoHighLevel Handles
Everything that happens before a prospect becomes a member, and the signals that a member is drifting away.
Unified Lead Inbox
Facebook and Instagram ads, Google Business Profile messages, web forms and missed calls arrive in one conversation view your sales staff can work between classes.
Tour and Trial Calendars
Prospects pick a tour slot or an intro session online, and capacity limits keep the floor from filling with first-timers at peak hours.
Membership Sales Board
Every trial has a stage and an owner, so nobody wonders who was supposed to call the person who toured on Saturday.
Corporate Wellness Leads
Employer partnerships get their own pipeline, separate from walk-ins, so group pricing talks and enrollment drives are tracked like real deals.
At-Risk Member Outreach
When your gym software or staff flag a member who stopped showing up, a coach check-in goes out before the cancellation request does.
Source-to-Member Reporting
See which ad, referral or partner produced paying members, counted from first inquiry instead of the day the contract was signed.
Is GoHighLevel the Right Gym CRM for Your Club?
It fits clubs that spend money to attract prospects and lose too many of them between the tour and the contract.
- ✓ Paid ads or a free-pass offer bring in prospects, yet nobody knows how many became members
- ✓ Your club software bills dues well but its lead follow-up feels like an afterthought
- ✓ Sales staff juggle prospects in sticky notes, personal phones and the front-desk inbox
- ✓ You pitch memberships to local employers and want those deals tracked
- ✓ You manage several locations and want one view of trials across all of them

Gym CRM Guide: Club Software, Sales Stages and Contract Rules
How GoHighLevel sits beside your club platform, what the sales process looks like, and the cancellation rules that shape membership offers.
Gym CRM or Club Management Software? Splitting the Jobs
Gym owners often shop for a gym CRM and end up comparing it with their club platform. They are different tools. Club software is the system of record for members: agreements, dues, check-ins, freezes and class schedules.
The big platforms now market their own lead tools too. Mindbody lists lead management, email and text marketing alongside scheduling and payments. ABC Glofox lists a CRM with automated email, SMS and push messages. PushPress lists lead capture and a member CRM next to billing and its member app.
So the honest question is not which tool has a CRM. It is whether your sales follow-up needs more than your platform’s built-in version: multiple pipelines, ad-specific landing pages, two-way texting from a shared inbox, call tracking and attribution in one place. GoHighLevel is built around those jobs.
| Job | Keep in club software | Run in GoHighLevel |
|---|---|---|
| Member agreements, dues and failed-payment handling | Yes | No |
| Check-ins, access control and class rosters | Yes | No |
| Ad, referral and walk-in prospect follow-up | Basic tools | Pipelines, shared inbox, landing pages |
| Tours and first-visit booking for prospects | Possible | Yes, with capacity limits |
| Corporate wellness deals | Rarely | Separate pipeline |
| Campaign-to-member reporting | Partial | Yes |
The feature lists above reflect what Mindbody, ABC Glofox and PushPress publish on their sites in October 2026. On connections, the HighLevel App Marketplace that month showed Mindbody connectors built by two outside developers, Autogration and Fit Phone AI, but nothing for ABC Glofox or PushPress. Without a connector, data moves through Zapier-style tools or staff updates, which we scope before promising anything.
A gym that sells mostly through its own app, spends little on ads and is happy with its platform’s lead tool may not need a second system. We would tell you that on the first call.
Where Gym Prospects Come From and Where They Slip
Most club leads arrive through a handful of channels, and each one leaks in its own way:
- Meta lead ads for a free pass or challenge: high volume, low intent, and gone within a day if nobody replies.
- Google Business Profile calls and messages: often the warmest leads, and often missed during class changeovers.
- Walk-ins and tours: written on a clipboard, then forgotten when the person says they will think about it.
- Member referrals and bring-a-friend days: rarely credited, so the referring member never hears thanks.
- Employer and corporate wellness partners: slow, multi-person deals that need notes and reminders, not a single text.
A missed call is the cheapest leak to fix. Our GoHighLevel AI automation work can add after-hours chat replies and missed-call responses, so the person calling at 9 p.m. gets an answer before choosing another gym.
A Lead-to-Member Pipeline That Matches the Sales Floor
Stage names should mirror what your membership staff already say. A typical club board looks like this:
- New inquiry: contact details captured, source recorded, first reply sent.
- Tour or intro booked: a date is on the calendar.
- Visited: the prospect showed up; no-shows move to a rebooking stage instead of disappearing.
- Offer presented: pricing discussed, objections noted.
- Joined: the agreement is signed in your club software.
- Not now: kept for a later, consent-based offer rather than deleted.
Multi-location operators usually want one pipeline per club with shared reporting. Agencies that serve several gyms can keep each club in its own sub-account. We also build a GoHighLevel gym snapshot with prebuilt pages and campaigns for owners who want a faster start.
Cancellation Rules: State Health Club Laws and the FTC
Membership offers in a CRM have to match the contract your club actually signs. Several states regulate health club contracts directly, and New York is a clear example. Its General Business Law Article 30 caps most contract terms at 36 months and payments at $3,600 per year, per section 623.
Under New York GBL section 624, a buyer can cancel within three business days of receiving the contract. Later cancellation is allowed for a move more than 25 miles from the club’s locations or a doctor-certified disability lasting over three months, with refunds due within ten business days.
At the federal level, the click-to-cancel amendments the FTC adopted in 2024 never took effect. The Eighth Circuit vacated them in 2025, and in February 2026 the FTC restored the older, narrower Negative Option Rule, then opened a new advance notice of proposed rulemaking in March 2026. The Restore Online Shoppers’ Confidence Act still requires clear terms and express consent for recurring online charges. This is general information, not legal advice; confirm with counsel.
In the CRM, that means offer pages and follow-up messages repeat the terms your attorney approved, and nothing promises a cancellation process your contract does not support.
Retention Belongs to Coaches, Not Just Billing
Billing software notices a member when a card fails. A coach notices when someone who trained four times a week has not been in for two. The second signal is more useful, and it is the one most clubs never act on.
GoHighLevel can hold an at-risk stage for members your team or software flags, a check-in from a real coach, and a separate path for members who already asked to cancel. Win-back offers go only to former members who agreed to marketing messages, and every text runs on a number registered through our A2P 10DLC registration service.
Gym CRM Numbers Worth Reviewing Weekly
- Speed to first reply: time between an inquiry and the first human or automated response.
- Tour show rate: booked tours or intro sessions that actually happen.
- Trial-to-member rate: visitors who sign an agreement, split by lead source.
- Cost per new member: ad spend divided by members joined from that campaign.
- Saves: at-risk members who return after outreach.

Gym CRM: Owner Questions, Answered
Most clubs do best with two layers: club software for agreements, dues and check-ins, and a sales-focused gym CRM for prospects. GoHighLevel covers that sales side: prospect boards, one team inbox, offer pages and source tracking. If your club platform’s lead tool already keeps up with your ad volume, adding another system may not pay off.
Our October 2026 look at HighLevel’s App Marketplace found no app for ABC Glofox or PushPress. Mindbody was the exception, with connector apps published by Autogration and Fit Phone AI. For other platforms, data usually moves through a Zapier-style connector or staff updates, so we confirm what each platform exposes before building.
For a small studio selling simple memberships online, sometimes. GoHighLevel has order forms, subscriptions and calendars. Clubs that rely on access control, freezes, contract management and point-of-sale usually keep dedicated club software and let GoHighLevel handle sales and follow-up. We will tell you honestly which side of that line you are on.
No. The 2024 amendments were vacated by the Eighth Circuit in 2025, and the FTC restored its older rule in February 2026 while it gathers comments on a possible new proposal. ROSCA and state health club and auto-renewal laws still apply to recurring memberships, so check your terms with counsel.
Tour and intro calendars record whether each prospect showed up. Anyone marked as a no-show moves to a rebooking stage and gets a friendly invitation to pick a new time, while your sales staff see the list. Missed calls can get an automatic reply too, explained on our missed-call text back page.
Yes, with planning. Owners commonly give each location its own sub-account, keeping phone numbers, calendars and reviews stay local, while reporting compares clubs side by side. A single account with a pipeline per club also works for small groups. We choose the structure based on how your sales team and billing are organized.
