Veterinary CRM for Clinics and Animal Hospitals
A veterinary CRM manages the relationship with the pet owner, the person who books, pays and reads your messages, while your PIMS keeps the medical record. GoHighLevel USA builds that outreach layer on GoHighLevel for general practices and animal hospitals, from new-client booking to after-hours calls, as a done-for-you setup.

Many pets per household
Stays your medical record
Call and text routing
Texting registration handled
Veterinary CRM Tools Built Around Pet Owners
The setup focuses on the owner relationship, because that is who answers the phone, opens the text and renews the plan.
Pet Records per Household
HighLevel Custom Objects can hold a Pet record linked to the owner, so one household with three animals is still one conversation.
New-Client Booking
New puppy and kitten owners and families new to the area book a first visit online and get a welcome message with what to bring.
Wellness Plan Renewals
Clinics that sell wellness plans get a renewal pipeline, so expiring plans are followed up before the owner lets them lapse.
After-Hours Routing
Calls and texts outside opening hours get a clear reply that points emergencies to your chosen emergency hospital or on-call line.
Lapsed-Client Outreach
Owners who have not visited in a long time are grouped for friendly win-back outreach that complements the reminders your PIMS sends.
Review Requests
Happy owners get a short Google review request after a visit, and any negative reply reaches the practice manager first.

Veterinary CRM Guide: PIMS, Privacy Rules and Pipelines
How to add a CRM to a veterinary practice without duplicating what your practice management software already does.
A Veterinary CRM Serves Households, Not Just Patients
In human health care, the patient and the contact are the same person. In a vet clinic, the patient cannot read a text message. The client is the owner, and one owner can have several pets with different ages, species and visit schedules.
That changes the data model. HighLevel’s Custom Objects feature uses a Pet object as its own example, with fields such as breed and vaccinations linked to the owner contact. HighLevel lists Custom Objects as available on all plans, up to 10 per location.
We keep the Pet record light. Name, species, birthday and the services the owner is interested in are useful for outreach; clinical history stays in the PIMS.
Your PIMS Stays the Reminder Engine
Practice management systems such as IDEXX Cornerstone, ezyVet and Covetrus AVImark already track vaccines due, wellness visits and medical history. Many practices also use reminder services that connect to them, such as IDEXX’s own Vello platform for Cornerstone.
A veterinary CRM should not compete with that. GoHighLevel covers what the PIMS does not do well: lead capture from ads and your website, a shared two-way inbox, new-client funnels, review requests, wellness-plan renewals and win-back campaigns.
Can GoHighLevel connect to the PIMS?
We did not find a native HighLevel Marketplace connector for Cornerstone, ezyVet or AVImark. ezyVet publishes an API and offers custom integration options through its partner program, while Cornerstone and AVImark work through their vendors’ partner programs.
Where a PIMS or a connected tool can send data out, HighLevel’s LeadConnector Zapier app or inbound webhooks can pass basic owner and appointment events. Each case needs checking with your PIMS vendor before anyone promises a sync.
Does HIPAA Apply to a Veterinary CRM?
Generally, no. HIPAA’s Privacy Rule applies to health plans, health care clearinghouses and health care providers that conduct certain transactions electronically, as described in the HHS guidance on who must comply. Animal medical records sit outside that framework, so most vet clinics do not need HighLevel’s $297 per month HIPAA Compliance package.
State law fills the gap. California’s Business and Professions Code section 4857 bars veterinarians from disclosing information about an animal patient or its client without consent, outside listed exceptions. Texas Occupations Code section 801.353 treats the veterinarian-client relationship as confidential and limits releasing care information without written authorization or a court order.
Other states have their own practice act rules, and owner contact data is also covered by general state privacy and data breach laws. Ask your counsel or state veterinary board how the rules apply to your clinic; this page is not legal advice.
Texting and email rules still apply
Owner texts must come from numbers registered for A2P 10DLC, and promotional texts need clear consent captured on your forms. Our A2P 10DLC registration service handles the filing. Marketing emails must follow CAN-SPAM, including a working unsubscribe link and your clinic’s postal address.
Pipelines a Vet Clinic Actually Uses
Vet practices do not sell like a sales team, but a few clear pipelines help the front desk see what needs attention each day.
| Pipeline | Stages | What it tells you |
|---|---|---|
| New client | Inquiry, first visit booked, first visit completed, second visit booked | Whether new owners stay after visit one |
| Wellness plan | Active, renewal due, renewal contacted, renewed or lapsed | Plan retention and revenue at risk |
| Lapsed client | Lapsed, contacted, replied, rebooked | How many inactive households come back |
| Service inquiry | Asked about dental, surgery or boarding, quote sent, booked | Which elective services owners ask about |
Pipeline names change to fit the clinic. A mixed or equine practice, for example, may need farm calls as their own pipeline.
The new puppy and kitten window
A new puppy or kitten is the best moment to win a client for the life of the pet. Young animals need a series of early visits, and owners have many questions in the first weeks.
A welcome sequence in the veterinary CRM answers the common questions, explains what to bring and makes the next visit easy to book. Medical advice and the vaccine schedule itself still come from your veterinarians and the PIMS.
Wellness plans and renewals
Wellness plans only pay off if owners renew. The renewal pipeline shows which plans expire soon, who has been contacted and who has not replied, so the front desk can call before a plan quietly lapses.
After-Hours Calls and Emergencies
Many owner calls come in the evening and on weekends. If your clinic does not see emergencies, every after-hours reply needs to point clearly to the emergency hospital or on-call line you choose, without delay.
Non-urgent calls are different. Missed-call text back starts a conversation so the owner can book the next morning instead of calling another clinic.
Clinics that want AI to answer routine questions after hours can add it through our GoHighLevel AI automation service, with emergency wording written and approved by your medical director.
Veterinary CRM KPIs
Four numbers matter most: reminder compliance, new clients per month, appointment fill rate and review volume. Reminder compliance and fill rate come from your PIMS. New-client sources, response time and review counts come from the CRM.
Review the numbers monthly with the practice manager. If new clients rise but second visits do not, the welcome experience needs work; if renewals drop, the renewal outreach starts earlier.

Veterinary CRM: Questions, Answered
A veterinary CRM manages communication and marketing with pet owners: new-client inquiries, online booking, two-way texting, wellness-plan renewals, win-back outreach and reviews. It works alongside your practice management software, which keeps medical records and vaccine reminders. GoHighLevel puts these tools, plus calendars and websites, in one account.
Generally not for animal records. HIPAA covers health plans, clearinghouses and providers of human health care that conduct certain electronic transactions. Veterinary records are instead governed by state practice acts, such as California B&P Code 4857 and Texas Occupations Code 801.353, plus state privacy and breach laws for owner data.
Yes. HighLevel Custom Objects let you create a Pet record linked to the owner contact, and HighLevel uses Pet as an example in its own documentation. That way a household with several animals stays one contact with one conversation history, while each pet keeps its own name, species and birthday.
We did not find a native HighLevel connector for ezyVet, Cornerstone or AVImark. ezyVet publishes an API and offers custom integration options, and the other systems work through their vendors’ partner programs. Where data can be sent out, Zapier or webhooks can pass basic events into GoHighLevel.
Usually the PIMS or its connected reminder service should send due-date reminders, because it knows each pet’s medical history. GoHighLevel handles the rest: new-client follow-up, renewals, lapsed-client outreach, reviews and after-hours replies. That split avoids duplicate or conflicting messages to the same owner.
Callers outside opening hours get an automatic reply that directs emergencies to your chosen emergency hospital or on-call line. Routine callers get a text so they can book the next day. Our missed-call text back setup covers the non-urgent side.
