GOHIGHLEVEL CRM FOR CAR DEALERSHIPS

Car Dealership CRM Built on GoHighLevel

A car dealership CRM built on GoHighLevel answers internet leads, phone-ups and Facebook inquiries in seconds, books test drives and keeps sold customers coming back to your service drive. It runs beside your DMS and any OEM-required CRM, not instead of them, and our done-for-you GoHighLevel setup gets it live without pulling your BDC off the phones.

WHAT YOU GET

Car Dealership CRM Features That Book More Appointments

Each feature targets a moment where dealerships lose shoppers: the first reply, the missed call, the unsold up and the first service visit.

Instant Lead Replies

Internet leads, website forms and Facebook lead ads get a personal text and email within seconds, day or night, while your BDC is busy on another call.

Test-Drive Booking

Shoppers choose a test-drive or appraisal time from a live calendar, receive text and email reminders, and land on the right salesperson's schedule.

Missed-Call Text Back

Phone-ups that ring out get an automatic text, so the conversation keeps going instead of drifting to the store down the road.

Unsold Follow-Up

Showroom ups who leave without buying stay in a long-term follow-up track until they reply, book again or tell you they bought elsewhere.

Service-Drive Retention

Sold customers move into a service pipeline for first-service and maintenance messages, keeping fixed-ops revenue tied to your rooftop.

Review Requests

After delivery or a service visit, customers get a review request by text or email, steadily building your Google rating with real buyers.

THE DETAILS

How a Car Dealership CRM on GoHighLevel Works With Your DMS

What it handles, what stays in your DMS, and the rules that shape how dealers store data and text customers.

Where a Car Dealership CRM Fits Next to Your DMS

Most stores already run a DMS for deals, F&I and accounting, and many franchise stores are tied to an OEM-certified dealer CRM such as VinSolutions, DriveCentric or DealerSocket. GoHighLevel does not replace either one. It is the speed-to-lead and retention layer that sits in front of them.

The split matters because the DMS owns the deal jacket, credit applications and F&I products. A car dealership CRM built on GoHighLevel owns the conversation: first reply, appointment, show, follow-up and the review request after delivery.

Independent dealers without a dedicated dealer CRM often run GoHighLevel as their main sales CRM. Franchise stores usually use it for the BDC, unsold follow-up and service marketing, while the OEM tool stays the system of record.

Lead Sources: From ADF/XML Emails to Facebook Marketplace

Dealer leads arrive in more formats than almost any other industry. Here is where they usually come from and how each one reaches the CRM.

  • Listing sites and OEM programs. CarGurus, Cars.com, AutoTrader and manufacturer lead programs commonly deliver leads as ADF/XML emails. HighLevel’s help center does not document a native ADF parser, so we route those emails through a parsing tool or a provider webhook into HighLevel’s Inbound Webhook trigger.
  • Your website. Vehicle detail page and trade-in forms built in GoHighLevel, or posted to it from your current site, create a contact with the vehicle of interest attached.
  • Facebook and Instagram lead ads. HighLevel’s native lead ads integration syncs Instant Form leads into contacts and can start follow-up immediately.
  • Facebook Marketplace. These inquiries often land in a salesperson’s personal Messenger. The fix is a process: get a phone number or email early and move the shopper into the CRM so the store, not one rep, owns the lead.
  • Phone-ups and walk-ins. Tracked numbers log every call, and missed-call text back catches the ones nobody answered. Walk-ins are entered at the desk so they join the same follow-up.

A Sales Pipeline That Mirrors the Showroom

Each stage below matches a real moment in the deal, so managers can see exactly where shoppers stall. A separate service-drive pipeline keeps fixed-ops opportunities from cluttering the sales board.

StageWhat it meansWhat the CRM handles
New leadLead received from any sourceInstant text and email reply, assignment to a salesperson
ContactedTwo-way conversation startedFull history in one inbox

ShowedCustomer arrived at the storeManager alert and notes for the desk
Test driveVehicle demonstratedTrade-in and payment questions captured
DeskedNumbers presentedFollow-up if the shopper leaves to think it over
Sold or lostDeal closed or shopper bought elsewhereReview request or long-term nurture

The service pipeline runs from first service due to booked, completed and reviewed. It keeps the people who bought from you returning for oil changes, tires and recall work instead of drifting to an independent shop.

FTC Safeguards Rule: What It Means for Your Dealership CRM

Dealers that finance, arrange financing or lease vehicles for more than 90 days are financial institutions under the FTC Safeguards Rule (16 CFR Part 314). The FTC’s Safeguards Rule FAQ for auto dealers lists the required elements, including a qualified individual, a written risk assessment, encryption, multifactor authentication, service-provider oversight and a written incident response plan.

Since May 2024, covered dealers must notify the FTC no later than 30 days after discovering a security event involving the unencrypted information of at least 500 consumers. Any CRM that stores customer information sits inside that program, and its vendor is a service provider you are expected to oversee.

In practice we keep credit applications, Social Security numbers and deal documents in your DMS, not in GoHighLevel. We turn on two-factor authentication, limit users to their assigned contacts where it makes sense, and document the setup for your qualified individual.

The FTC’s CARS Rule, aimed at bait-and-switch pricing and junk add-on fees, was vacated by the Fifth Circuit in January 2025, and the FTC formally withdrew it in a Federal Register notice dated February 12, 2026. The FTC Act’s ban on deceptive practices and state advertising laws still apply. This is general information, not legal advice, so confirm your store’s obligations with counsel.

Texting Sold and Unsold Customers: TCPA and A2P 10DLC

Any business texting US customers from a local 10-digit number has to complete A2P 10DLC brand and campaign registration, or messages risk being filtered by carriers. Our A2P 10DLC registration service handles the filing and the opt-in language carriers look for.

Consent is the other half. A shopper who just asked about a specific truck expects a reply, but a customer who bought five years ago did not agree to marketing texts. We build TCPA-minded consent language into your forms, and STOP replies switch a contact to do-not-disturb so nobody keeps texting them.

For after-hours coverage, GoHighLevel AI automation can answer common questions about hours, availability and trade-in steps, then hand hot shoppers to a person in the morning.

KPIs Your Car Dealership CRM Should Report

  • First-response time for internet leads, by source and by salesperson.
  • Appointment-set rate and show rate, the two numbers that best predict floor traffic.
  • Close rate on shown appointments compared with walk-ins.
  • Cost per sale by lead source, so you can judge listing sites on results instead of lead counts.
  • Service retention: the share of sold customers who come back to your service drive.

FAQ

Car Dealership CRM: Questions, Answered

It depends on the store. Franchise dealers often have to use an OEM-certified CRM tied to the DMS. Independent dealers usually get more from a flexible platform that replies to leads instantly and runs follow-up without a salesperson remembering to. GoHighLevel fits that role, either as an independent store’s main CRM or as the speed-to-lead layer beside a franchise CRM.

HighLevel’s help center does not document a native ADF/XML parser. Dealers usually forward those lead emails to a parsing tool or use a provider webhook, which then creates the contact in GoHighLevel through an inbound webhook. Inbound webhooks are a premium workflow feature billed per execution after a free allowance, and we test each lead source during setup.

If your dealership finances, arranges financing or leases vehicles for more than 90 days, the FTC treats it as a financial institution under the Safeguards Rule. Any system holding customer information, including a CRM, belongs inside your written security program, and the vendor counts as a service provider. Confirm the details for your store with counsel.

No. The Fifth Circuit vacated the CARS Rule in January 2025, and the FTC formally withdrew it in a Federal Register notice dated February 12, 2026. The FTC Act’s general ban on deceptive practices and state advertising and pricing laws still apply, so honest online pricing and add-on disclosures still matter.

HighLevel publishes three main plans: Starter at $97 per month, Unlimited at $297 and Agency Pro at $497, each with a 14-day free trial. Phone, text and email usage are billed separately. Setup is a separate one-time cost; our setup pricing page explains how dealership builds are scoped.

No. A DMS handles inventory, deal structuring, F&I, titles and accounting, and GoHighLevel does none of that. GoHighLevel handles lead response, appointments, two-way texting, email marketing, reviews and service reminders. Most dealers keep both systems and move contacts between them by export or a custom integration.
