GOHIGHLEVEL CRM FOR CPA AND TAX FIRMS

Accounting Firm CRM for CPA and Tax Practices

An accounting firm CRM should win the right clients before tax season fills your calendar, then turn them into year-round advisory relationships. GoHighLevel USA sets up that intake and follow-up system in GoHighLevel, beside Karbon, TaxDome or Canopy, through our done-for-you GoHighLevel setup, with consent and data-security limits respected from the start.

WHAT YOU GET

What Our CPA and Tax Practice CRM Includes

The sales and scheduling side of your firm, built so partners spend busy season on returns instead of chasing inquiries.

Qualified Intake

Web and phone inquiries answer a few fit questions about entity type and services needed, so partners only meet prospects the firm wants.

Consultation Booking

Prospects book a paid or free consultation from your site, with availability that shrinks automatically as filing season gets tighter.

Engagement Letters

Proposals and engagement letters go out through GoHighLevel Documents and Contracts, signed online and tracked until the client accepts.

Waitlist Management

When capacity is full, new individual-return inquiries join a waitlist and are invited back for extension work or next season.

Off-Season Nurture

Planning newsletters and quarterly estimate reminders keep the firm in touch from May through December, within Section 7216 limits.

Referral Tracking

Know which bankers, attorneys, advisors and clients send business, and see which referral sources produce engagements, not just calls.

THE DETAILS

How an Accounting Firm CRM Supports Busy Season and Advisory Growth

Where GoHighLevel helps a CPA or tax practice, where your practice software should stay in charge, and the federal rules that shape your marketing.

What an Accounting Firm CRM Adds to Karbon, TaxDome or Canopy

Practice management platforms run the work once a client signs. Karbon, TaxDome and Canopy handle jobs, deadlines, client portals, document requests, organizers and billing, and none of that should move.

The gap sits before the engagement. Inquiries arrive by phone, web form and referral email, fee quotes live in partners’ inboxes, and nobody tracks which prospects went quiet. An accounting firm CRM closes that gap with one pipeline, one inbox and booked consultations.

We do not promise a native sync with any practice tool. TaxDome and Karbon both list Zapier connections, and APIs vary by plan, so we confirm what your subscription supports before connecting anything. A signed engagement can simply trigger your admin to open the client in the practice tool. If you also sync invoices, our GoHighLevel QuickBooks integration guide explains the options.

Planning Intake Around Tax-Season Capacity

Accounting is the most seasonal industry we build for. From January to the April filing deadline, the constraint is not leads but preparer hours, so the system has to say no politely as well as yes quickly.

We set capacity by service line. Business returns and advisory work may stay open while new individual returns close by a date you choose, and late inquiries are offered extension work or a spot for next season.

The pipeline we build for most firms runs like this:

  1. New inquiry, labeled by source
  2. Fit screen: entity type, services, complexity
  3. Consultation booked
  4. Proposal or engagement letter sent
  5. Engagement signed
  6. Handed to practice management for onboarding
  7. Waitlist or not a fit

Where accounting firm leads come from

  • Existing clients: family members, business partners and employees of the businesses you already serve.
  • Professional referrals: bankers, business attorneys, financial advisors and other firms that do not take certain work.
  • Local search: Google Business Profile calls and map listings, especially in January and February.
  • Life and business events: new entities, home sales, inheritances and IRS letters that push people to look for help.
  • Your own content: deadline reminders, planning articles and webinars that capture an email address.

Each source gets its own label on arrival. After one season you can see which channels bring profitable business returns and which only bring simple returns your firm would rather decline.

Your website does a lot of the screening. Our GoHighLevel website building service can add service pages and an intake form that sends each inquiry to the right partner.

Section 7216: The Marketing Rule Most Tax Practices Miss

Internal Revenue Code Section 7216 limits how tax return preparers use or disclose information gathered while preparing a return. Many firms do not realize it also governs marketing to their own clients.

Under Treasury Regulation 301.7216-2(n), a preparer may keep a list of client names, mailing and email addresses, phone numbers, entity type and return form number. That list may be used for tax information and to solicit more tax return preparation work, but not to sell other services.

Pitching bookkeeping, payroll, advisory or financial planning to tax clients based on their return information requires the client’s prior written consent under 301.7216-3. The consent must be signed and dated, and a preparer may not ask for consent to unrelated solicitations after handing over the completed return for signature. The IRS Section 7216 information center links to the full rules and the revenue procedure on consent format.

In the CRM, that means separate audiences: prospects, tax clients with list-only data, and clients who signed a consent. We never import AGI, refund amounts or other return figures into GoHighLevel to target campaigns.

FTC Safeguards Rule, Publication 4557 and Your WISP

The FTC Safeguards Rule names tax preparation firms as financial institutions under the Gramm-Leach-Bliley Act. IRS Publication 4557 and the Publication 5708 template explain the written information security plan, or WISP, every preparer must keep.

The rule asks for a qualified individual, a written risk assessment, multi-factor authentication, staff training and oversight of service providers. A CRM is a service provider, so it belongs in your WISP and vendor review.

  • Keep out of GoHighLevel: Social Security numbers, return copies, bank details and uploaded tax documents. Those belong in your portal.
  • Keep in GoHighLevel: contact details, inquiry notes, appointments, proposals and marketing consent.
  • Breach reporting: covered firms must notify the FTC within 30 days of discovering a breach involving unencrypted data of 500 or more consumers.

Circular 230 limits on advertising

Practitioners before the IRS also follow Circular 230 Section 10.30. It bars false, misleading or coercive claims, requires you to honor published fees for at least 30 days, and asks you to keep copies of direct-mail and electronic solicitations, with recipient lists, for 36 months.

This is general information, not legal advice; confirm your consent forms and WISP with counsel or your professional liability carrier.

Accounting Firm CRM KPIs and Off-Season Growth

Once busy season ends, the CRM shifts from gatekeeper to growth tool. The reports we set up answer the questions partners ask in May:

  • Consultation-to-engagement rate, by service line and partner.
  • Proposal turnaround: days from consultation to engagement letter sent.
  • Waitlist conversion: waitlisted prospects who became clients later.
  • Advisory adoption: consented tax clients who added bookkeeping or planning.
  • Engagements by referral source, so you know which relationships to thank.

Many firms refer clients to wealth managers, and our financial advisor CRM page shows how those practices track centers of influence. For a texting-enabled setup, the A2P 10DLC registration service handles carrier approval, and the CRM hub lists every industry build.

FAQ

Accounting Firm CRM: Questions, Answered

Most firms are best served by pairing tools. Practice management software such as Karbon, TaxDome or Canopy runs jobs, portals and billing. A marketing CRM like GoHighLevel handles lead intake, consultations, proposals and nurture. Together they cover the full client journey without forcing one tool to do everything.

No. GoHighLevel has no tax organizers, secure document portal built for returns, or job and deadline tracking for accounting work. It is strongest before the engagement is signed. We keep your practice management platform as the system of record and use GoHighLevel for growth and communication.

Only with care. Under Section 7216 rules, a preparer may use a basic client list to offer more tax preparation services, but marketing other services based on return information needs the client’s prior signed consent. Confirm your consent process with counsel; this answer is general information, not legal advice.

Yes. The FTC Safeguards Rule treats tax preparation firms as financial institutions, and the IRS reminds preparers they must keep a written information security plan. IRS Publication 5708 offers a template. Your CRM should be listed as a service provider in that plan and kept free of sensitive tax data.

Yes. GoHighLevel Documents and Contracts lets you send proposals and engagement letters for online signature and see their status on the contact. Many firms still issue final engagement terms from their practice software; we match the setup to the tool your firm already uses for that step.

We set capacity rules by service line. When new individual returns are closed, inquiries get a polite reply, join a waitlist and are invited back for extension work or next season, while business and advisory leads can stay open. Our AI automation can answer common questions after hours.
