Plastic Surgery CRM for Cosmetic Practices
A plastic surgery CRM has to hold a patient’s attention for months, from the first photo-submission form to a scheduled surgery date and the referrals that follow recovery. GoHighLevel USA builds that coordinator-led system inside your own GoHighLevel account, beside the EMR that holds charts and clinical photos, as a done-for-you GoHighLevel setup.

What We Build for Cosmetic Surgery Practices
Every piece supports the patient coordinator, who owns the relationship from inquiry to the post-op review request.
Virtual Consult Intake
Website forms, Meta and Google ads, Instagram messages and calls reach one inbox, with a virtual consult booking option for patients who are still researching.
Paid Consult Booking
In-person consult slots can require a consult fee at booking, paid through the practice's Stripe, NMI or Authorize.net connection, so serious patients hold them.
Coordinator Task Queues
Each patient has one named coordinator, with dated tasks for quote follow-up, financing checks and pre-op paperwork that nobody can quietly drop.
Quote and Financing Follow-Up
Surgical quotes go out as estimates patients can accept online, and patients exploring CareCredit or Cherry get timely, human follow-up.
Photo Authorization Tracking
The CRM records whether a patient signed a marketing authorization for photos or a testimonial, without storing the images themselves.
Referral and Review Loop
After recovery milestones, happy patients are invited to review the practice and refer friends, and referral sources are reported by surgeon.
Is GoHighLevel the Right Fit for Your Cosmetic Practice?
It fits surgical practices whose patients take weeks or months to decide and whose coordinators juggle dozens of open quotes.
- ✓ Consult requests arrive from ads, social media and review sites faster than coordinators can call back
- ✓ Open surgical quotes live in a spreadsheet or in each coordinator’s memory
- ✓ Patients stall on financing and nobody follows up after the quote
- ✓ Your EMR handles charts and photos well but its marketing tools feel limited
- ✓ You want lead-source reporting by surgeon and by procedure

Plastic Surgery CRM Guide: Long Cycles, Quotes and Photo Privacy
How a surgical practice should run a months-long consult cycle in GoHighLevel while keeping clinical images in the EMR.
Why a Plastic Surgery CRM Runs on a Longer Clock
Cosmetic surgery is a considered purchase. A patient may send photos for a virtual opinion in spring, book an in-person consult in summer and schedule surgery around a holiday break, and every gap is a chance to choose another surgeon.
A plastic surgery CRM is built for that clock. Instead of reminding patients about an appointment they already booked, it keeps an open opportunity alive with the right touch at the right stage, owned by a named coordinator.
Inquiries reach a surgical practice from many directions: the website and its photo-submission form, Google search and Maps, Meta and Instagram ads and messages, and referrals from past patients, med spas and dermatologists. Recording the source at the first touch matters, because the surgery it produces may be booked months later.
| Stage | What GoHighLevel handles | What stays in the EMR |
|---|---|---|
| Inquiry | Fast reply, coordinator assignment, lead source | Nothing yet |
| Virtual consult | Booking link, reminder, video link | Any photos the patient submits |
| In-person consult | Fee or deposit at booking, reminders | Exam notes, consult photos |
| Quote sent | Estimate, follow-up tasks, questions log | Procedure plan and pricing source |
| Financing | Reminders to finish an application | Payment records your practice keeps |
| Surgery scheduled | Pre-op paperwork reminders, logistics texts | Pre-op clinical orders and consent forms |
| Post-op and referral | Milestone check-ins, review and referral invitations | Post-op notes and photos |
The Patient Coordinator Owns the Pipeline
In most cosmetic practices the patient coordinator, not the front desk, converts consults into surgery. The CRM should give that person a queue they trust: every open quote, every unanswered question and every financing check, sorted by due date.
Multi-surgeon practices add a second layer. Leads can be routed by surgeon or procedure, and reports show each surgeon’s consult volume and booked surgeries without anyone rebuilding a spreadsheet each month.
Automation supports the coordinator rather than replacing them. A breast augmentation or rhinoplasty patient expects a real person to answer, so automated messages handle confirmations and gentle nudges while the coordinator handles the conversation.
Consult Fees, Quotes and Financing Follow-Up
A consult fee can be charged at booking as a fixed amount or a share of the price, once Stripe, NMI or Authorize.net is connected. Anything owed later is held as a draft invoice, which suits practices that credit the consult fee toward surgery.
Surgical quotes can be sent as GoHighLevel estimates by email or text. Patients accept online, staff can mark phone acceptances by hand, and once accepted, the estimate becomes the basis of the surgical invoice.
Financing is where many quotes stall. CareCredit lists cosmetic surgery among the specialties it serves, and Cherry offers payment plans for plastic surgery practices. We do not connect GoHighLevel to either lender; the CRM tracks that a patient is exploring financing and prompts the coordinator to check in.
Before-and-After Photos and Patient Privacy
Clinical photos are among the most sensitive records a practice holds. HIPAA lists full-face photographic images as identifiers, and using a patient’s protected health information for marketing generally requires a signed authorization under 45 CFR 164.508(a)(3).
Our rule is simple: images stay in the EMR or a dedicated photo system, not in CRM contact records, texts or email attachments. The CRM stores only a yes-or-no record that a marketing authorization exists and when it was signed.
Prospects send photos too. A virtual consult form that asks for images should deliver them to a secure upload your practice controls or straight to the photo system, never into a text thread a coordinator reads on a personal phone.
Advertising adds its own limits. Meta’s health and wellness ad policy requires ads for cosmetic surgery, such as rhinoplasty or abdominoplasty, to target people 18 or older, and bans copy that attacks how people look. The same policy allows before-and-after imagery for cosmetic procedures only in ads aimed at adults. This is general information, not legal advice; confirm your consent forms and ad copy with counsel.
Plastic Surgery CRM Beside PatientNow, Nextech or Your EMR
Aesthetic EMRs increasingly include marketing. PatientNow, for example, describes EMR, marketing, payments, RxPhoto before-and-after photo documentation and lead capture into a pipeline in one platform.
If your practice already works leads well inside its EMR, adding GoHighLevel may not be worth a second system. It earns its place when the EMR’s lead tools are unused, when coordinators need a shared inbox for texts, calls and social messages, or when you want funnels and attribution the EMR does not offer.
In our October 2026 scan of the HighLevel App Marketplace we found no app for PatientNow or Nextech. A listing for 4D EMR, which targets plastic surgery and med spa practices, does exist; ask its developer exactly what syncs and whether they will sign a BAA.
HIPAA Setup and the KPIs Coordinators Watch
HighLevel is not HIPAA compliant by default. Its HIPAA Compliance package adds a signed BAA, ePHI encryption at rest, MFA enforcement and audit logs, and HIPAA mode is enabled per sub-account and cannot be switched off. Texting also needs registration through our A2P 10DLC registration service.
- Inquiry to consult: share of inquiries that book a virtual or in-person consult
- Consult to quote accepted: the coordinator’s core conversion number
- Quote age: how long open quotes have gone without a touch
- Booked surgeries by source and surgeon: which campaigns fill operating room time
After-hours inquiry handling can come from our GoHighLevel AI automation team, limited to scheduling and contact details. Existing accounts can start with a GoHighLevel tech audit, build costs are on our GoHighLevel setup pricing page, and other industries are on the GoHighLevel CRM hub.
Plastic Surgery CRM: Questions, Answered
Look for a system that keeps months-long consult cycles visible, gives each coordinator a task queue, and reports booked surgeries by source and surgeon. Some aesthetic EMRs include lead tools; GoHighLevel suits practices that want a shared inbox, funnels and attribution beside the EMR that keeps charts and clinical photos.
We found no PatientNow or Nextech app, as of October 2026, in the HighLevel App Marketplace. A third-party listing for 4D EMR exists. Without a connector, consults and quotes are tracked in GoHighLevel while the EMR stays the clinical record, and staff create the chart once the patient books an in-person consult.
Yes. A booking calendar can charge a fixed or percentage amount through Stripe, NMI or Authorize.net when the slot is taken, and any balance is kept on a draft invoice. Practices that credit the consult fee toward surgery can reflect that on the later invoice. Write your refund policy clearly on the booking page.
We recommend against it. Full-face photos are HIPAA identifiers, and marketing use generally needs a signed authorization. Keep images in your EMR or photo system, and let the CRM record only that an authorization exists and when it was signed. That keeps sensitive images out of texts, emails and contact records.
It varies widely by procedure, budget and recovery planning, and we do not quote an average. What matters is that no open quote goes quiet. Each patient should have a named coordinator, a dated next step and a record of every question, so follow-up continues across weeks or months.
GoHighLevel does not connect to lenders, but it keeps financing from stalling a quote. The coordinator logs that a patient is exploring CareCredit, Cherry or another option, and the system prompts a timely check-in. Payments and estimates inside GoHighLevel can handle deposits and any balance your practice collects directly.
