Church CRM for Guest Follow-Up and Connection
A church CRM should make sure every first-time guest hears from a real person this week and gets a clear next step toward a group or a team. GoHighLevel USA sets up guest follow-up, digital connect cards, group sign-ups and serve-team onboarding inside your own account as a done-for-you GoHighLevel build, running next to the church database you already use.

What Our Church CRM Build Includes
Guest care, groups, serving teams and events run from one GoHighLevel account, while membership records stay in your ChMS.
Digital Connect Cards
A short mobile connect card, reached by QR code or a link on the screen, puts every guest into the follow-up pipeline the same day.
First-Time Guest Care
Guests receive a personal welcome from a pastor or host, an invitation to return, and an easy way to ask questions.
Small-Group Sign-Ups
Group pages and sign-up forms show meeting nights and locations, then notify the leader so nobody waits for a reply.
Volunteer Onboarding
People who raise a hand to serve are routed to the right ministry lead, with training dates and background-check steps tracked.
Event Registration
Retreats, VBS, classes and outreach nights take RSVPs or tickets, send reminders, and support QR check-in at the door.
Care and Prayer Routing
Prayer requests and care needs go to a small pastoral team only, never into bulk messages or the general inbox.
Is GoHighLevel the Right CRM for Your Church?
It fits churches whose database is fine for records but whose follow-up depends on one busy staff member remembering.
- ✓ Paper connect cards sit in a basket until Tuesday, and some never get entered
- ✓ Guests visit once and nobody knows whether anyone reached out
- ✓ Small-group and serve-team sign-ups live in scattered forms and inboxes
- ✓ You want to text guests and members but are unsure about consent and carrier registration
- ✓ Planning Center, Tithely Church Management or another ChMS stays your membership and giving record

Church CRM Guide: Guests, Groups and Texting Rules
What GoHighLevel should handle for a church, what stays in your church management system, and the messaging rules that still apply.
Church CRM vs ChMS: Who Owns What
Most churches already run a church management system (ChMS) such as Planning Center or Breeze, which now operates as Tithely Church Management. Those tools are built around membership records, households, giving history, check-in and service planning. They should stay your system of record.
A church CRM on GoHighLevel covers the gap most ChMS tools leave open: fast, personal, multi-step follow-up by text and email, with a clear owner for every guest. It is a connection tool, not a membership database.
| Job | GoHighLevel | Your ChMS |
|---|---|---|
| First-time guest follow-up | Strong: pipeline, texts, emails, task reminders | Varies; often manual lists |
| Connect cards and QR codes | Yes: forms plus a built-in QR code builder | Often available as forms |
| Membership and household records | Basic contact records only | Yes, the system of record |
| Giving history and year-end statements | No | Yes |
| Kids check-in and service planning | No | Yes |
Data can move one way automatically. As of October 2026, Planning Center’s Zapier app offers triggers such as New Profile and New Form Submission, and HighLevel’s official Zapier app is LeadConnector, so new Planning Center profiles can create GoHighLevel contacts. Breeze lists a developer API but we found no Zapier app, so that link is a custom job or a periodic import.
Before launch we agree which system owns each piece of information. Names, phone numbers and follow-up status live in GoHighLevel; membership status, household links and giving stay in the ChMS. That rule keeps two versions of the same family from drifting apart over a year.
From First-Time Guest to Connected Member
Connection is the outcome worth measuring. We track each person by where they are in that journey, not by how many emails they received.
- First visit: connect card received, welcome from a pastor or host within a day
- Second visit: the guest came back, often prompted by a personal invite to a specific Sunday or event
- Next step: attended a newcomers lunch, a starting-point class or a coffee with staff
- Connected: joined a small group or a serve team, handed to that leader
- Quiet: no response after the welcome sequence, moved to a gentle monthly update
Each stage has a named owner, so the welcome team knows who is calling whom. Families with kids can get a separate track that introduces the children’s ministry lead and explains check-in before their next Sunday.
Connect Cards, QR Codes and Small-Group Sign-Ups
Paper cards still work for some guests, but a QR code on the screen, in the bulletin and on seat-back cards catches people who would never fill one out. HighLevel includes a QR code builder, so each code can point to the right connect card or page and be printed in bulk.
Each small group gets a sign-up page designed with our GoHighLevel website building service. A sign-up notifies the group leader and adds the person to the group’s list, so the leader can text a welcome before the first meeting.
Serve-team interest works the same way. Ministry leads see who volunteered, which training dates they picked, and whether a background check is still pending under your church’s policy.
Multi-site churches get one connect card per campus and a welcome team for each, while the lead pastor sees combined guest numbers in one dashboard. Spanish-language or other services can have their own card and messages written in that language.
Events, Giving Links and Prayer Requests
HighLevel Events, found under Memberships, supports free RSVP events and ticketed events, with confirmation and reminder emails and QR check-in at the door. That suits retreats, VBS, marriage nights and outreach events where you want a clean attendee list afterward.
For giving, a CRM page can link to the giving page your ChMS already provides, or use HighLevel’s donation-ready form payment element for a specific campaign such as a mission trip. Keep official giving records and year-end statements in your ChMS or accounting software, because GoHighLevel does not produce contribution statements.
Prayer requests need extra care. We route them to a short list of pastoral users, keep the details out of the shared inbox, and never include them in bulk sends.
Texting a Congregation: Consent, A2P and Quiet Hours
Churches get some relief under federal rules, but not a blanket exemption. The FCC’s TCPA rule at 47 CFR 64.1200 leaves calls made on behalf of tax-exempt groups out of its definition of a telephone solicitation. That relief does not reach automated texts to mobile numbers, which still require consent from the person you are texting. Every connect card and sign-up form gets a plain consent line and STOP instructions in the first message.
Carrier registration is separate from the law. HighLevel’s A2P list includes a Charity special use case meant for 501(c)(3) groups, and registration asks for proof of tax-exempt status, so a church without that paperwork on hand may register under a standard type instead. We file it through our A2P 10DLC registration service and match the use case to the documents you have.
We also set quiet hours so guest texts do not land late on a Saturday night, and keep email unsubscribe links in every bulk send. This is general information, not legal advice; please check with your own attorney before texting your congregation.
Church CRM KPIs and the Snapshot Question
- Guest follow-up time: hours from connect card to first personal contact
- Second-visit rate: first-time guests who return within six weeks
- Next-step rate: guests who attend a class, lunch or coffee
- Group placement: sign-ups who attend a first group meeting
- Volunteer activation: serve-team sign-ups who complete a first shift
Some churches start from a ready-made snapshot; others need a build shaped around their own connection path. Our guide to custom vs free GoHighLevel snapshots explains the trade-off, and the GoHighLevel CRM hub lists our other industry builds.
Church CRM: Questions, Answered
Church management software holds membership, households, giving history, check-in and service plans. A church CRM focuses on follow-up: making sure guests, group sign-ups and new volunteers hear from the right person quickly. Many churches keep Planning Center or a similar ChMS and add GoHighLevel for the connection work.
Not through a native integration we could find. As of October 2026, Planning Center’s Zapier app has triggers such as New Profile and New Form Submission, and the official Zapier connector for GoHighLevel is called LeadConnector, so new Planning Center profiles can create GoHighLevel contacts. Syncing back the other way needs a custom approach.
For automated texts, yes. FCC rules give tax-exempt groups relief from the telephone-solicitation limits, yet automated texts to mobile numbers still require permission from the recipient first. Put a clear consent line on every connect card and sign-up form, and honor STOP replies right away.
HighLevel lists a Charity special use case meant for 501(c)(3) groups, and it asks for proof of tax-exempt status. If your church has that paperwork, the Charity type may fit. If not, a standard type such as Mixed or Customer Care is the usual route. We confirm the right choice during our A2P registration service.
It can take donations through its form payment element with suggested amounts and recurring gifts through a connected gateway such as Stripe. Most churches keep their ChMS giving tool as the main channel, because it produces giving statements. GoHighLevel works well for a single campaign such as a mission trip or building fund.
It can be, with the right setup. We route prayer requests to a short list of pastoral users, keep them out of the shared inbox and bulk messaging, and avoid storing more detail than the care team needs. Talk with your leadership about who should see these requests before launch.
